Rotaract District 5280 Operating Policies

These policies govern the Rotaract district In order to strengthen communications, Club participation, and organization of the Rotaract district 5280.

Article I.                    District Officer Duties-

Section 1.01                  Rotaract District Governor/District Rotaract Rep. (DRR)

(a)      Year Theme

(b)      Governor Platform

(c)      Representative of Rotaract Clubs to Rotary

(d)      Ensuring the Rotaractor working together

(e)      Work with each district officer to ensure a successful board

(f)       Chair the end of the year Closing Rotaract Dinner

(g)      Co-Chair a Rotaract retreat for all Club officers and district board

 

Section 1.02                       Rotaract Vice-District Governor

(a)      The Rotaract Vice-District Governor shall be known as the Rotaract Executive Aide

(b)      Succeed to the office of District Rotaract Governor in the event or removal of the latter for whatever cause, and, in the absence of the District Rotaract Governor

(c)      Plan the Rotaract assembly (that takes place at the youth conference). May also include vocational assembly

(d)      Chair a Rotaract retreat for all club officers and district board (DRR will Co-Chair)

 

Section 1.03                    District Secretary

(a)      Collect Club Reports from each of the board members who shall act as designated liaison per club

(b)      Record Meeting Minutes

(c)      Editor of district Newsletter-including club events and news

(d)      Act as Public Relations Chair for Rotaract District 5280 activities

(e)      Promote Rotaract Events (Community Service/ or Other) on a Rotaract and Rotary level

 

Section 1.04                    District Treasurer             

(a)      Balancing the District Budget

(b)      Present a Budget Report to District board monthly via email/posted on District website

(c)      Chair a District Fundraiser

(d)      The chair is encouraged to create fundraisers where the clubs that participate may benefit as well.

 

Section 1.05                 Service Chair

    1. Chair one International and/or Community Project for the district (preferably international)

 

Section 1.06                  Social Chair

    1. Chair at least one social event for the district

 

Section 1.07                 Board Members and Members at Large

(a)      All Board Members and Club Representatives in addition to their position shall carry out the following duties:

                  (i)     Act as a liaison to their designated clubs and report to the district board monthly.

                (ii)     Assist the event chair in the planning and set up of all of the district events.

               (iii)     Select Awards for the end of the year Closing Rotaract Dinner

              (iv)     Join the Rotaract District Governor and the board members in attending various Club meetings throughout the district

                (v)     Attend a monthly board meeting

 

Article II.                Communication

Section 2.01      Contacting Rotaract Clubs

(a)      The Rotaract District of 5280 Board may not promote, broadcast, recommend, and/or Request that the Rotaract Clubs of District 5280 attend, help/working, and/or assist in a project or event without three (3) weeks notice prior to all Rotaract Clubs with a minimum of three notifications each a week or more apart.

 

 

Article III.             Report and Forms

Section 3.01       Club Level

(a)      Club shall report to Rotary International the completion of an Community and International service project and communicate the Rotaract District Board to maintain District Active status.

(b)      Club shall only use forms approved and found on the Rotary International Website for club updates, communication, and other necessary documentation.

Section 3.02       District Level

(a)      District Scholarship Forms are only valid from the Rotaract District website.

(b)      Rotaract District maintain the right to modified, delete, and create documentation as it related to but not limited to Rotaract District Scholarship Form

Section 3.03      Rotary Club Level

 

Article IV.              District Active Participation Status

(a)      All clubs maintain District Active Participation Status shall be consider in good standing and benefit from Rotary and Rotaract District 5280 financial assistants, awards, and/or any support form the district organization beyond building/maintaining a club.

Section 4.02      Club Level

(a)      Meet the Requirement of Rotary International as an active Club

(b)      Submit a membership list by September 30 of every year

(c)      Send Club representative to District Board Meetings

(d)      Provide status of club activities monthly

(e)      Attend District Service project with a minimum of 5 members

(f)       Attend District Social Project with a minimum of 2 members

(g)      Actively participate in a Rotaract District Fundraiser
